Our innovation team is working hard to integrate AI into SmartDMS, our solution for advanced document management. The challenge: Can AI automatically extract valuable information from documents without complex configurations? The answer: yes!
With SmartDMS, you store documents easily and securely in SharePoint, linked directly to the right place in your system. For example: you drag an invoice from your e-mail to the right customer folder, after which SmartDMS automatically saves it and enriches it with relevant characteristics such as purchase number, supplier and delivery date. This makes documents not only quickly retrievable, but also directly usable within your ERP system.
In addition, SmartDMS automatically creates folder structures for purchase orders, projects or service orders, for example. Thanks to seamless integration with Microsoft Dynamics Business Central and Microsoft Dynamics F&O, among others, everything works smoothly together for a complete and efficient document solution.
AI as a turbo for document management
Our innovation team has leveraged the power of AI to further enhance SmartDMS. In doing so, we make use of OCR technology. OCR stands for Optical Character Recognition and is a technology that allows text to be extracted from images or scanned documents in no time. This text is then converted into a format that computers can read. We automatically extract text from PDFs and images — regardless of language, format, or layout. But it doesn’t stop there. Thanks to Copilot’s advanced language model, you can ask direct questions about documents, such as:
- Who is the sender
- What is the total amount
- What is the supplier's document reference
The answers are automatically stored as metadata in SharePoint - without complex programming or lengthy training of AI models. Want to retrieve a different piece of data? Simply ask another question!
